Items and publishing

An item is one entry in a collection. A blog post, a product, and a team member are all items.

Last updated

Items have their own publishing status. This is separate from publishing the site design.

Create an item

Open Database, choose a collection, then choose New item. Fill in the fields and save.

An item starts as a draft unless you publish it.

Draft, published, and scheduled

  • Draft is not visible on the site.

  • Published is live right away.

  • Scheduled becomes live at the date and time you choose.

When you edit a published item, choose Update published to push the change live. You can also save it as a draft first and publish later.

Drafts are private

Drafts do not appear in repeaters, item pages, or searches on the published site. They are visible only in the Database area.

This makes drafts safe for unfinished work. It also means a draft item page link will show a 404 until the item is published.

Publish and schedule

Open an item and use the publishing controls:

  • Publish now uses the current time.

  • Schedule uses the date and time you pick.

  • Save draft keeps it private.

You can publish several items at once from the item table. When you publish a group, items that are already published keep their original publishing date. Drafts use the date you choose.

Unpublish

Unpublishing removes the item from the live site and turns it back into a draft. The content stays in the collection.

This is useful for seasonal products, outdated announcements, or a post you need to revise.

Delete an item

Deleting an item removes it from the collection. It is not the same as unpublishing. A deleted item cannot be restored from the editor.

If you might need the content again, unpublish it instead.

Items and the live site

CMS items are live as soon as you publish them. You do not need to publish the whole site for each new item.

Design changes still need to be published. If you add a field to a collection, publish the site again so the pages that use it pick up the new field.

Items and your plan

Published items count toward your plan's CMS item limit. Drafts do not.

Items created by a workflow are published when they are created, so they count too. Plan the limit before a workflow starts adding many items.

Remy changes

When Remy creates or edits CMS items, the changes appear in Remy changes under Database. New items are drafts by default. You can approve or revert each change.

This gives you a review step before AI-written content goes live.

Read Remy, the AI assistant for more about the review flow.

A simple starting recipe

For a blog:

  1. Create the post as a draft.

  2. Fill in the title, slug, cover, excerpt, body, and author.

  3. Preview the item page.

  4. Publish now, or schedule it for the morning.

  5. Check the live list page.

  6. When you edit later, choose Update published.

For a seasonal product:

  1. Create the product and publish it.

  2. Unpublish it when the season ends.

  3. Keep the content and republish it next year with a new date.
